How a quarterly reserve snapshot works

Every engagement follows the same disciplined sequence, designed to produce accurate documentation without compromising your air-gap security model.

Inquiry and questionnaire

You contact us with your device count, asset types, office location, and preferred visit date. We send a custody questionnaire covering device models, multisig arrangements, and any special access requirements. Complete and return it at least three business days before the scheduled visit.

Scheduling confirmation

Once we review your questionnaire, we confirm the visit date, assign an associate, and issue an engagement letter with scope, pricing, and deposit instructions. A 50% deposit secures the appointment.

On-site verification

The associate arrives at your premises with printed checklists and a disconnected laptop. You power on each hardware wallet independently. The associate witnesses balance displays, records wallet addresses visible on screen, and notes any verbal explanations you provide about recent transactions. No device is connected to any network or Grovepoint equipment.

Report preparation

Within five business days of the visit, we prepare a signed reserve snapshot report. The report includes an asset breakdown by type, approximate valuations using publicly available reference prices, device identifiers, and the quarter-end date. If you are a returning client, we include a quarter-on-quarter variance summary.

Delivery and balance settlement

The report is delivered via encrypted email or physical handover, per your preference. The remaining balance is due upon delivery. Your report is archived in our secure records for continuity on future visits.

What to expect during the visit

Plan for three to four hours if you have three or fewer devices. Multisig wallets requiring multiple signers may extend the timeline. The associate will ask you to display each wallet’s balance screen and may request permission to photograph the display and device serial number. You may decline photography; in that case, balances are recorded manually on the checklist.

Air-gap guarantees

Our associates are trained never to request seed phrases, private keys, USB connections to your devices, or network access. If any step of your custody routine requires a connection we cannot witness, we document that limitation in the report rather than compromising the air gap.
